Getting Started

Camp Scoreboard tracks and manages scores for camps — individual and Six scores, activities, leaderboards and reports.

  1. Create a Camp in Admin → Camps (global admins), or work within the currently active camp.
  2. Add Sixes and Individuals with their assignments.
  3. Add Activities with names and maximum scores.
  4. Record Scores via Scores → Add Individual/Six Points.
  5. View Leaderboards and the Winners Circle for results.

Requesting a Camp

If your account has no camp yet, you'll see the Request a Camp page. Complete the form and it is sent to the site administrator for approval.

  • The Camp Contact Email is locked to your signed-in account and cannot be changed.
  • The Camp Administrator name is pre-filled with your username but can be edited.
  • You can edit or delete a request while it is still Pending.
  • Once approved and the camp is created, the request shows as Approved.

Permissions & Access

Access is camp-specific with granular permissions:

  • can_view – basic viewing (required for all others)
  • can_edit_activities, can_edit_scores
  • can_manage_individuals, can_manage_sixes, can_manage_leaders
  • can_import_export, is_camp_admin

Admins manage permissions in Admin → Users → Permissions. The UI enforces dependencies, and Camp Admin overrides all permissions for that camp.

Pages Overview

  • Dashboard – stats, recent activity, tent points.
  • Scores – individual/six entries, filters, bulk actions.
  • Leaderboards – Individual, Six, Tent, Room views.
  • Winners Circle – daily spotlight view.
  • Manage – Individuals, Sixes, Activities, Leaders.
  • Admin – Camps and Users (global admins).

Managing Camps

Global admins manage camps in Admin → System Settings → Camp Management.

  • Add / Edit camp details (name, dates, location, description).
  • Switch the active camp – only one camp is active at a time.
  • Archive a camp to expire it (see below).
  • Delete a camp permanently (removes all its data).

Archiving Camps

Archiving expires a camp: its data is retained, but the camp is removed from everyday use. This is the recommended way to close a camp at the end of a season (rather than deleting it).

How to archive

  1. Go to Admin → System Settings → Camp Management.
  2. Click the Archive button next to the camp.
  3. Confirm in the dialog.

What happens

  • The camp is marked Archived and set inactive; another non-archived camp is promoted to active if needed.
  • The camp becomes unavailable to everyone – it's hidden from the camp switcher and all permission checks deny access to it.
  • Any related camp access request is updated to Archived.
  • Email notifications are sent to the site administrator and the camp's assigned camp administrator.

Restoring

Click the Restore button on an archived camp to bring it back. Access and any related access request are restored.

Data Import/Export

  • CSV import/export for Individuals, Sixes, Activities, Leaders, and Scores.
  • XML full-camp import/export including leaders and scores, with duplicate prevention.
  • Permission required: can_import_export.

Email Notifications

The system sends transactional emails for key events:

  • Welcome & registration links, password resets, and permission updates.
  • Camp access requests (to the site admin) and confirmations (to the requester).
  • Camp created, and camp archived (to the site admin and camp administrator).

Emails are sent one at a time with automatic retry on transient connection issues, and delivery status is recorded in Admin → System Settings → Email Log.

Mobile & Accessibility

  • Responsive layouts, mobile list views, and off-canvas filters on small screens.
  • Horizontal-scroll tabs where needed; consistent Six colour badges.
  • Dark/light theme toggle; keyboard-friendly components (Bootstrap).

FAQ

Who can see my camp?
Only users with permissions for that camp. Archived camps are hidden from everyone.
How do I switch camps?
Use the camp switcher on the dashboard; visibility is permission-based.
How do I reset a password?
Use the “Forgot password” link on the login page, or ask an admin.
What's the difference between archiving and deleting a camp?
Archiving keeps the data and can be reversed; deleting permanently removes the camp and all its data.
